Complete guide to every module — from login to attendance

Flexible Deployment — Your Brand, Your URL

This HR module is fully flexible and can be integrated into your company's own infrastructure. No Gill ERP branding is required — it runs as a completely white-label solution under your domain.

How It Works

  • Subdomain: Host at hr.yourcompany.com or people.yourcompany.com
  • Path-based: Host at yourcompany.com/hr or yourcompany.com/people
  • Custom domain: Use any domain you own — e.g., if your company is abc.com, your HR portal can be hr.abc.com or abc.com/hr

Employees see only your company branding. There is no Gill ERP branding, logos, or references — the system is totally flexible and adapts to your organization's identity.

1. Login & Authentication

Access the HR portal at your company's configured URL — for example https://www.gillerp.com/en/hr, or your own domain such as hr.yourcompany.com or yourcompany.com/hr when deployed under your brand.

You can also sign in with Google using the Google Sign-In button.

Forgot Password

Click Forgot your password? and follow the reset instructions sent to your email.

2. HR Dashboard

After login, you land on the HR Dashboard — your central hub for HR information.

What You See

  • Company Holidays — Upcoming and past holidays for the selected year. Use the year filter to switch years. Click View More to see the full list.
  • My Leave Summary — Your leave balances (Annual, Sick, Casual) for the current year. Shows used vs. available days.
  • Notice Board — Company announcements, HR updates, and important notices.
  • Calendar — Leave events and key dates at a glance.

3. Company Holidays

Navigate via HR Management → Core HR → Holidays.

Functionality

  • View — See all company holidays with name, start date, end date, and duration.
  • Filter by Year — Use the year dropdown to view holidays for a specific year.
  • Add Holiday — Admins can create new holidays (name, start date, end date).
  • Edit / Delete — Admins can update or remove holidays. Deleted holidays can be restored from the Deleted view.

4. Time & Attendance

All attendance-related features are under HR Management → Time & Attendance. This includes:

  • Time Sheet — Daily check-in/check-out records
  • Time Change — Request corrections to attendance times
  • Monthly Summary — Per-employee monthly attendance summary
  • Absent Report — List of absent days (excluding leave)

5. Time Sheet

Navigate via HR Management → Time & Attendance → Time Sheet.

What It Shows

  • Employee Name — Who the record belongs to
  • Attendance Date — The date of attendance
  • Check-in / Check-out — Clock-in and clock-out times
  • Late Minutes — Minutes late after shift start
  • Office Duration — Total time worked
  • Early Leave Minutes — Minutes left before shift end
  • Missed Check-in / Check-out — Flags if check-in or check-out was missed

Actions

  • Filter — Filter by employee and date range.
  • Request Time Change — If your check-in or check-out is wrong, click to submit a time change request.

6. Time Change Requests

Navigate via HR Management → Time & Attendance → Time Change.

Purpose

Request corrections to your recorded check-in or check-out times (e.g., if you forgot to clock in or the system recorded the wrong time).

How to Use

  • New Request — From the Time Sheet, click Request Time Change on the relevant attendance row, or go to Time Change and create a new request.
  • Provide Reason — Enter why the correction is needed.
  • Status — Requests can be Pending, Approved, or Rejected. Admins review and approve/reject.

7. Monthly Summary

Navigate via HR Management → Time & Attendance → Monthly Summary.

What It Shows

A summary of each employee's attendance performance for the month, including:

  • Total Working Days — Expected working days in the month
  • Present Days — Days with valid attendance
  • Absent Days — Days without attendance (excluding leave)
  • Leave Days — Days on approved leave
  • Unavailable % — Percentage of time unavailable due to late arrivals, absences, or early departures
  • Deduction — Calculated based on late minutes and company rules

8. Absent Report

Navigate via HR Management → Time & Attendance → Absent Report.

Purpose

Lists employees who were absent (no attendance record) on working days, excluding those on approved leave. Helps identify unexplained absences.

9. Leave Management

Navigate via HR Management → Leave & Absence.

Leave List

View all your leave requests with status (Pending, Approved, Rejected, Cancelled). Filter by employee, status, and date range.

Apply for Leave

  • Click Apply for Leave or go to Leave List → New.
  • Select Leave Type (Annual, Sick, Casual, Unpaid).
  • Choose Start Date and End Date. The system calculates the number of days (excluding weekends).
  • Enter a Reason.
  • Submit. Your manager will review and approve or reject.

Leave Types

  • Annual — Paid annual leave (e.g., 20 days/year)
  • Sick — Paid sick leave (e.g., 10 days/year)
  • Casual — Short paid leave (e.g., 5 days/year)
  • Unpaid — Unpaid leave

10. Work From Home (WFH)

Navigate via HR Management → Leave & Absence → WFH List or Apply for WFH.

WFH List

View all work-from-home requests with status. Filter by employee, status, and dates.

Apply for WFH

  • Click New WFH Request.
  • Select Start Date and End Date.
  • Enter Reason and Task Details (what you plan to work on).
  • Submit. Your manager will approve or reject.

11. Payroll & Salary Slip

Navigate via HR Management → Payroll → Salary Slip.

Purpose

View and download your monthly salary slip. Shows earnings, deductions, and net pay.
